Configuring a New Workflow

A workflow consists of a series of activities/tasks that are required to complete a particular policy action or transaction application. Workflows in SecurTime provide an easy way to streamline tasks when there are different levels of approvers for the application.

You can configure a workflow for different workflow types. These include:


To configure a new workflow in SecurTime

  1. Select Policy Management>Workflow Configure. The Workflow Configurations page is displayed.

  1. Select Configure New Workflow. The Configure New Workflow page is displayed.

  1. Select the Affiliate.

  2. Select the WorkFlow Type.

WorkFlow Type Options

The Workflow Type options can be any of the following:

  • LEAVE_APPLICATION

When you select this workflow type, the Select Leave Type field is displayed where you can select different leave types such as Casual Leave, Paid Leave, Sick Leave, etc. based on your leave type configuration.

  • LEAVE_APPLICATION_WITHDRAW

When you select this workflow type, the Select Leave Type field is displayed where you can select different leave types such as Casual Leave, Paid Leave, Sick Leave, etc. to withdraw your leave application.

  • OT_APPLICATION

When you select this workflow type, you can set the workflow type for overtime application approvals.

  • OT_APPLICATION_WITHDRAW

When you select this workflow type, you can set the workflow type to withdraw overtime application approvals.

  • SPECIAL_REQUEST_APPLICATION

When you select this workflow type, the Select Special Request Type field is displayed where you can select options such as On duty, Field Work, or Loss of Pay.

When you select this workflow type, you can set the workflow type to withdraw Special Request application approvals.

  1. Enter a Workflow Name.

     Note : When you enter the workflow name, use only lower or uppercase letter combinations. You can also use number combinations with letters—for example, LeavePolicy Application. Spaces are allowed between characters. Special characters are not allowed in policy name, for example, @,&,_ are not allowed between letters or numbers. If you enter a special character, an error is displayed as shown in the following figure.

  1. Select the applicable Employee Group.

  2. Create the required number of approval levels in Workflow Level.

  1. Select the Role Type in each workflow level . The default role types are displayed: HR, Manager, and Admin.

  1. Select the Role Type and click Add New Level. A new workflow level is created. You can create the required number of workflow approval levels. The application is sent for approval to the first level workflow, then the second level and to the subsequent levels in the hierarchy.

For example, when you have defined two levels of approval, first the application goes for approval to the role type configured in Workflow Level 1, and then to the role type configured in next level, which is, Workflow Level 2.

  1. Once you have added the required number of workflow approval levels, click Submit to submit the workflow. A message is displayed that the workflow is successfully submitted.

You can view/edit the workflow from Workflow Configurations main page.
